Union Equipment Hire Form

To request equipment please complete this Equipment Hire Request form at least 2 weeks before the event/activity/project. Please note, if we have not received the appropriate documentation for the event the equipment is intended for, your request will not be accepted.

We will aim to respond to your request within 2 working days. Equipment will be allocated on a first-come first-served basis and so you are advised to put in your request as early as possible. Equipment can be requested up to 90 days prior to the day it is needed.

The equipment will not have been reserved until you receive an email confirmation from us outlining so, and if successful will also include the procedure for guaranteeing the items and also collecting and returning.

Please note the terms and conditions of hire at the end of this form.

In the event of loss, theft or damage   Please tick to confirm you accept responsibility of the equipment whilst under hire and you know that your student group will be required to pay the following in the event the equipment is lost, stolen or damaged: Canon EOS 1300D - £100; GoPro Hero - £60; Tripod - £20; First aid kit and High visibility jackets - £10 per item

TERMS AND CONDITIONS

The equipment is only for hire by fully affiliated University of Leicester Students’ Union student groups.

Items can be hired for no longer than 4 Days at a time.

Whilst the Students’ Union will try to honour all equipment bookings, we will not be held responsible for equipment which is not available due to another student group not returning it on time.

Items must be collected by a core committee member of the group after 10am and before 4pm on the first day of the hire period. This must be on a union working day. In the event the first day of the hire period is not a union working day (weekends and bank holidays), the equipment must be collected the union working day prior to the first day of hire.

Items should be returned no later than 4pm on the final day of your hire period to the Student Hub, first floor Percy Gee Building. This must be on a union working day. In the event the final day of the hire period is not a union working day (weekends and bank holidays), the equipment must be returned the union working day after the final day of hire.

Should equipment be returned late, the Students’ Union reserves the right to charge a student group £10 a day, per item until it is returned to the Union.

Items will be checked by a member of the Activities Team when returned; any issues will be noted and reported via email to the Activities Development Coordinator immediately.

We ask that you leave all captured footage/photos on the memory card when you return your items so that we can use this to help promote and celebrate your student group in the future.

The student group committee must guarantee each item before the hire commences (£100 for Canon EOS 1300D, £60 for GoPRO Hero and kit, £20 for Tripod and £10 per item for First aid kits and High visibility jackets). You will need to sign for this when you collect the equipment. We will not take any money from your student group account as a deposit, but in the eventuality that any items are lost or damaged then we will look to reclaim the amount outlined in this agreement.

Should equipment be damaged or lost by a student group, the Union also reserves the right to refuse the student group the right to hire equipment for the remainder of the academic year.

It is the responsibility of the person named on the Equipment hire form that all equipment is used appropriately and for its intended purpose, any evidence that suggests equipment is being used inappropriately may result in your student group receiving penalties. Hired equipment should not be used for purposes that breach Students' Union regulations or are of an illegal nature and the sole responsibility for any and all penalties incurred as a result of such use belongs to the person named on the Equipment hire form. The Students' Union accepts no responsibility for any and all penalties incurred as a result of inappropriate use of hired equipment.

All equipment should be handled and stored appropriately and with care. All equipment should be stored in a secure location (preferably locked) when not in use. The person named on the Equipment hire form is responsible for any damage, loss or theft of all hired equipment.
