Timetable Change Control Process

Change control process for timetabling following publication of personal timetable to students.

Following the publication of personal timetables to students each semester, all late changes to the timetable will be subject to the Change Control Process as set out in Schedule A of the University of Leicester Timetabling Policy.

Requests for change will be considered by the Academic Registrar and Timetabling to both understand and limit the impact on Students, whilst ensuring that all amendments critical to the successful delivery of modules and courses are processed.

Requesting an Essential Change to a Timetable

Staff can request an essential change to a timetable by submitting an online change request form directly to the Academic Registrar & the Timetabling Team, but please liaise with your dedicated Timetable Coordinator for your subject area prior to submission.

As per schedule A of the UoL Timetabling Policy it is recognised that changes relating to unforeseen circumstances may need to be accommodated post publication.

The following will normally be acceptable reasons for requesting a change to the published teaching timetable

  • Clash of staff availability due to appointment of new staff
  • Clash of staff availability due to resignation of staff members
  • Staff illness
  • Unexpected and unavoidable staff absence due to caring for dependents (usually illness)
  • Scheduled room is unsuitable for purpose due to the required equipment not being present/working
  • Insufficient room capacity as a result of course and module changes made within the first two weeks of the academic year
  • Compassionate leave agreed through the normal HR procedure
  • Accessibility reasons
  • Staff unavailability due to other work commitments which could not have been avoided by planning ahead e.g. late acceptance of a paper at conference, short notice research project/partnership events

 

The following will not normally be acceptable reasons for requesting a change to the published teaching timetable:

  • Annual leave
  • Staff unavailability due to other work commitments which could otherwise have been avoided by planning ahead prior to timetable publication e.g. department committees, conferences
  • Scheduled room is disliked by staff member
  • Commuting to work arrangements
  • School holidays
  • Regular school drop-off/pick-up
