Protocol for Media on Campus

Any media wishing to film on campus must seek permission from the News Centre prior to arrival.

The News Centre will need to know the following:

  • The purpose of why the media are coming to the University
  • Details of the logistics including venue, who is being filmed/photographed/interviewed and any necessary parking arrangements
  • Who the key University contact is

For PR companies and outside agencies

If you wish to organise a photocall/press event on campus, you cannot do so unless the News Centre has been informed and the arrangements have been authorised by the News Centre. You can do this via

The News Centre will seek assurance in writing that the University is not seen to be endorsing any company or product, and that the good reputation of the University is safeguarded. In addition, any press release or press notification concerning the University must be approved by the News Centre before it is issued.

Once the media arrive on campus, responsibility for them transfers to the News Centre. Therefore, the News Centre must be provided details of who has been invited; what arrangements have been made for them and what their purpose is.

Media are still responsible for obtaining any permissions they require for filming/photographing individuals, especially in the case of minors. Media should not assume that the News Centre has obtained permissions on their behalf unless stated in writing

The Head of Department, building manager, or nearest equivalent, will be informed of media on their premises by the key University contact

For Documentary and Feature Filmmakers

Arrangements for non-news media are not managed by the News Centre. Creative Services can provide broadcast quality shots of the campus for use by TV documentaries and can provide advice about working with television crews. Liaise with Jon Shears via for more information.

Access to buildings and grounds for filming may require negotiation with Estates and Security staff. Parking permits for crews can be applied via this online form.
