Privacy Notice for Users of the Academic Skills Centre

The Academic Skills Centre is part of the University of Leicester.  The University of Leicester is the Data Controller for your personal information and is subject to the Data Protection Act 2018 (DPA) and the General Data Protection Regulation (GDPR).

This Privacy Notice is supplemental to the main Student Privacy Notice and explains specifically how the Academic Skill Centres of the University will use and share your personal data and outlines your rights in relation to the personal data we hold.

What information are we collecting?

The Academic Skills Centre will collect, hold and process the data about you relating to the type of help you need and your student email address or student ID number which will enable us to know your department course of study and year group.

Personal data held by the Academic Skills Centre about you is obtained from your student record linked to your ID number, or directly from you when you register for and during your consultation with an advisor.

Why are you collecting my data?

The Academic Skills Centre collects your data to enable it to provide one to one advisory services to you. Only information required for these purposes is obtained and processed, and without it the University may not be able to provide this service to you.

How will you use this information?

The Academic Skills Centre of the University of Leicester will use personal data to enable the advisor to deliver a one to one consultation with you and provide advice which is specific to your requirements and circumstances. Your advisor may make notes during the session with you and record the advice given.

We may also use your data for other administrative purposes, for example: to undertake statistical analysis, or to deal with complaints or enquiries.

What is the legal basis for processing the data?

Your personal data is collected and processed by the University as necessary for the performance of a contract under which the University provides this service to students.

If you are sharing my data with others, who are you sharing it with?

For purposes referred to in this privacy notice the Academic Skills Centre may share your personal data with employees to enable it to deal with complaints and inquiries, to inform the future development of the service and for statistical analysis.  

How long will you retain my data?

All information will be stored securely and retained for 3 years from your initial contact with us.

What are my rights and how can I enforce them?

In addition to the right to be informed you have the following rights:

  • The right to request access to your personal data held by the University
  • The right to have incomplete or inaccurate data rectified
  • The right to restrict the processing of personal data – individuals have the right to block the processing of their personal data by the University in specific situations
  • The right to data portability – students have the right to request provision of some elements of their information in digital form in order to provide it to other organisations.

How can I raise concerns about the processing of my personal data?

If you have any feedback or concerns in relation to the processing of your personal data please contact the University’s Information Assurance Services ias@leicester.ac.uk. If attempts to resolve a concern or complaint informally are not successful and you feel you have reason to complain, you may submit a formal complaint via the University’s Complaints Procedure.
