Open an existing personal folders file/Outlook data file (.pst)

In Outlook personal folders (.pst files) are referred to as Outlook Data Files.

Use these instructions to access an existing Outlook Data File only.

You should consider moving your emails from the Outlook Data File into your mailbox.

Connect to an existing Outlook Data File

You will need to know the location of your .pst file, usually this is Z:\Outlook Archives but you may have chosen another drive or folder to store it in.

University Staff Laptop users must not connect to an archive on the Z: drive as this will cause problems during synchronisation. Current archives will be located on your C:\ drive

  1. Within Outlook, choose File tab > Account Settings... > Account Settings...
  2. Within the Account Settings dialog box click the Data Files tab
  3. Click Add
  4. Browse to Z:\Email Archives or the location where you stored your .pst file
  5. Select your .pst file
  6. Click OK
  7. The folder will appear at the bottom of your Folder List
  8. Click the white arrow next to it to the folder to view the contents

Recommended alternative to an Outlook Data File

Outlook Data Files can corrupt or be accidentally deleted so are not a suitable storage method for your personal emails.

Once you move to Office 365 you should have sufficient space to store all emails in your mailbox.

If you need more space you can request an Outlook Online Archive which is stored on the email server and is regularly backed up. This archive facility is available through Outlook 2013 and Outlook Web access.
