Changes to leaver extensions

From Friday, 1 February 2019 there will be changes to whether staff can extend their University IT account when leaving the University.

What

Following a periodic review of our IT account management policies, taking into account the new Data Protection Act 2018 (GDPR), we need to limit the circumstances in which members of staff who are leaving are able to have their IT account extended beyond their contract end date.  This is necessary so the university can meet its obligations to protect personal, sensitive and other important information.

In future, staff working in professional/corporate services roles will no longer be able to have their account extended. Extensions for staff involved in academic work (Teaching and Research) will need to be approved by their College’s Director of Operations and be limited to 1 month maximum (reduced from 3 months).

What do I need to do if I am leaving the University?

Staff who are leaving the University must ensure they handover their work or files they are responsible for in the weeks or months before they finish working for the University. When?

From: Friday 1 February 2019
  • Account extensions will be limited to a month for staff involved in academic work by agreement of their College
  • Staff working in professional/corporate services roles will no longer be able to have their account extended
