Selection and use of cloud services

Policy relating to due diligence required before making use or purchase of cloud based services

Selection and use of cloud services policy PDF icon

Cloud based services store information on servers that don't belong to the University, so it is important for the University that we only use these services when we properly understand the implications. This includes confirming that a cloud service is compliant with University data protection and information security policies, as well as considering how it would integrate University systems, whether it is value for money and if its use aligns with University strategy.

This policy ensures the University makes the best possible decisions regarding Cloud based services.

Who does this apply to?

All members of staff

What are the key things to know?

  • If you want to use a Cloud based service, you should contact your IT business partner who will help you evaluate whether the service is suitable and complies with University data protection and information security policies.
  • If the Cloud based service is suitable, it will be approved and can be procured the usual way via Procurement.
  • If a Cloud based service is not suitable, IT Services will help you to establish an appropriate alternative.
