IT preparation for Confirmation and Clearing 2019

During August 2019, IT Services are heavily involved in supporting the IT systems required to ensure Confirmation and Clearing runs without interruption. You should be aware of the disruption to some rooms and IT services.

Rooms in Ken Edwards

Many rooms in the Ken Edwards building have been equipped with temporary PCs and telephones in order to accommodate a high volume call centre and temporary office space.

  • KE 101, 103, 301, 306, 313, 322, 323, 324, 501, 522, 526, 527, 528, 620, 621 are currently closed
  • Library IT room 1 and Library IT room 2 are also closed
  • All rooms will be released by 30 August 2019

University telephones

During Confirmation and Clearing the University takes a very high volume of calls. Every effort has been made to ensure that phone lines for staff use are unaffected, but at particularly busy times there is a small chance that staff and callers to the University might be unable to connect. Please be patient and try to avoid organising conference calls during this time.

University Switchboard

Each year, the University Switchboard receives a high number of Confirmation and Clearing related calls, despite there being the official Clearing number 0116 373 6000. To help Switchboard throughout this busy period, use alternative methods to find contact details for colleagues, such as using people search, Outlook Global Address List or using Skype for Business.

IT support

Many IT Services teams will be directly involved in Clearing and so there will a delay in responses to IT issues and requests during this time. For urgent support, call the IT Service Desk on 0116 252 2253, which is open Monday to Friday 8.30am to 5.00pm.

Student Records System

The Student Records System is critical to Confirmation and Clearing operations and will be extensively used from Thursday 8 August 2019 to Friday 23 August 2019. All associated support staff will be working on Confirmation and Clearing and so won’t be able support additional work during this period.

To ensure we don’t share A level results before they are released on results day (A level results embargo) it is necessary to switch off the connection between SITS and Blackboard from Monday 29 July to Tuesday 6 August and Friday 9 August to Thursday 15 August. New students will not be automatically enrolled on Blackboard courses during this time.

Business Objects

Business Objects is essential to Confirmation and Clearing and preparations for the exam resit panels and boards. Avoid running large reports during this critical period.

IT change freeze

Any changes to IT or telephone systems are suspended from 8 August 2019 to 20 August 2019, except where necessary for Clearing. This reduces the risk of causing issues to IT systems that are critical during Confirmation and Clearing.
