Request for Alumni Data

Thank you for your interest in using Alumni data in support of your activity. We just need a few additional details to ensure your request can be dealt with as quickly as possible.

Please note:

  • Data is normally provided within two working weeks, subject to approval.
  • A small charge may be made for email communications (see notes*)
  • All requests will be reviewed by the University’s Alumni team to ensure communications are coordinated and fit with the University’s Annual Alumni Communications plan and busy schedule of alumni communications – please note that dates for mailings will need to be agreed and any date stated on the form should be treated as provisional.
  • The data provided should be used for statistical/planning purposes OR a one-off mailing only. The alumni database is the most comprehensive database on campus for alumni information and is updated on a daily basis throughout the year. The information provided must not be used to create separate alumni databases.
  • Outcomes of alumni communication must be recorded in order to update Alumni records, and to inform and improve future Alumni activity. A template will be provided for you to complete.
  • Corrections and additions to alumni information received directly by Departments should be forwarded in full directly to, or by internal mail to the Development and Alumni Relations Office.

Notes on Mass communications

Mass communication by Post

  • Data will be provided in an Excel sheet to enable the Department/Office to fulfil the mailing.
  • Please ensure all envelopes/mail is printed with the following to ensure our database remains accurate and up-to-date:
    • “If undelivered please return to Development and Alumni Relations Office, University of Leicester, LE1 7RH”

Mass communication by Email

  • Mass-emails are sent out by the Development and Alumni Relations Office on behalf of Departments to provide a consistent look to Alumni communications, and also to ensure the most efficient handling of bounce-backs and unsubscribe requests. We can provide you with statistics on the number of emails successfully delivered and opened upon request.
  • Once we have run your data extract, we will contact you to inform you of the number of Alumni who match your criteria and ask for your email copy and any images you wish to be included in your email.
  • Depending on the suitability of the communication request, space may be available within the regular e-newsletter sent to Alumni by DARO, for which there would be no charge.
  • If the communication is not suitable for the e-newsletter, or would work best as a stand-alone email, a charge is made to the requesting Department of 1p/email sent (this is a direct charge made to the University by our DotMailer email service).  A cost code/SIO will be required before the email can be sent (which will be taken from your original External Relations Project Request form).
