Copyright and Scanning under the CLA Licence

The University's Copyright Licensing Agency (CLA) licence allows the scanning of some copyright protected material for teaching purposes for registered University of Leicester students, including distance learners. Inclusion of material not covered by licences must be with the permission of the rights holder.

What materials can I scan?

Tick The CLA licence allows scanning of limited extracts from copyright protected printed books, journals and magazines as well as extract from digital publications (eBooks or eJournals). The copies must be made from a book, journal or magazine owned by the University or an eBook or eJournal that we have licenced access to. The limit is the greater of:

  • Up to 10% or one chapter of a book
  • Up to 10% or one article from a single issue of a journal or magazine
  • Up to 10% or one paper of one set of conference proceedings
  • Up to 10% of an anthology or one short story, poem or play of not more than 10 pages
  • up to 10% or a whole report of a single case from a volume of judicial proceedings

The material can be text only, text and image or an image disembedded from the text.

We can scan most materials that are published in the UK and some overseas publications.  The easiest way to check whether a publication is covered is to use the CLA Check Permissions tool (remember to select Higher Education from the drop down list once you have performed the search).

If the Library provides an electronic version of a chapter or article you can link to the electronic version.

Are there any licence requirements with regard to scanned items?

  • These materials have to be placed on a University restricted, password operated site, such as readinglists@Leicester.
  • Materials must only be made available to students registered on the relevant course of study, and only for the duration of the module/course.

For each digital copy there are specific obligations:

  • to append a Copyright Notice referring to the individual module
  • to record and report bibliographic and course based details to CLA. This must be done by completing and returning one of the following documents to the Copyright Specialists

Could someone check my items for me?

TickRequests submitted via readinglists@Leicester will be automatically checked against the CLA scanning licence.

What happens if an item is not covered by the CLA or another licence?
