Maths, Engineering and Informatics privacy notice (student personal data)

The Mathematics, Engineering and Informatics Departments are part of the University of Leicester. This Privacy Notice relates to the processing of students’ personal data undertaken by the Professional Services Team in the Mathematics, Engineering and Informatics Cluster.

The University of Leicester is the Data Controller for your information.

This privacy notice explains how we use your personal information and your rights regarding that information. This should be read in conjunction with the University of Leicester Student Information Privacy Notice.

What information are you collecting?

Personal Data that will be collected by the Departments of Maths, Engineering and Informatics in addition to that detailed in the University of Leicester Student Information Privacy Notice.

General Student Lists

Full name, student ID, year of study, level of study, registered degree programme, personal tutor allocation, current status, disability information, AccessAbility allowances, lab information (where applicable)

Mitigating Circumstances

Full name, student ID, year of study, level of study, start and end date of submission, module(s) and assessment(s) affected, details of mitigation, evidence provides and outcome/decision.

Wiley+ (first year maths students only)

Full name and university email account.

Huxley (Informatics students only)

Full name, student ID, programme of study, year of study, intake year, module choices and any course changes.

Unitemps

Excel workbook summarising all job requisitions by Semester/Year, including full names of Teaching Assistants, hours worked, rates of ay and weekly payments authorised.

Cranfield University (students registered on EG3401 and EG2421)

Registration form from Cranfield University, including student names, gender and weight.

Why are you collecting my data?

Student Lists

To log personal tutors, AccessAbility allowances, lab groups and to track changes to student’s records.

Mitigating Circumstances

Additional departmental data collected to manage submissions relating to small scale assessments.

Wiley+ (first year maths students only)

Required in order for students to register to use online materials; upon receipt of the data from the University, Wiley+ contacts students by email.

Huxley (Informatics students only)

Departmental database of all Informatics students, their degree programmes, modules taken and assessment outcomes.

Unitemps

To ensure that there is a full record of hours allocated to each Teaching Assistant and the number of hours actually worked and authorised.  There is also a requirement to ensure that the budget is not exceeded.

University of Cranfield (students registered on EG3401 and EG2421)

Registration form required in order for students to participate in flight trials. EASA (European Aviation Safety Agency) rules require a robust system to ensure that the aircraft is not operated above its maximum take-off or landing weight and that the centre of gravity position is within safe limits. Gender-based standard weights are used for pre-flight allocation of students and fuel planning. Actual mass (weight) is used to determine the true aircraft weight and centre of gravity location for post-flight data analysis purposes.

If you are sharing my data with other people, who are you sharing it with?

With the exception of Wiley+ (first year maths students) and Cranfield University your data will not be shared outside the University. It may be used by other departments such as the Quality Office and Student Records. The University will normally process your data on University databases located in the United Kingdom, but some data may be processed elsewhere through specific contractual agreements.  The University may share data with the two third-party recipients named below.  Data will be kept within the European Economic Area (“EEA”) and, if not, there are contractual clauses in place to ensure that your personal information is treated securely and in accordance with this Privacy Policy and all applicable data protection laws.

How long will you process my data for?

In accordance with the University Retention Schedule, after which is it will be destroyed.

For data collected in connection with Wiley+ and Cranfield University, we will destroy the data lists at the end of the academic year in which the information was supplied.
