Who are Unitemps and why are we here?

Set up at the University of Leicester in September 2012 as part of the Career Development Service, Unitemps offers full and part time and temporary employment to students and external candidates to Academic departments and support services.

What roles can we recruit for you internally?

Anything you need - if you need a student to do some envelope stuffing, or an external candidate to be an administrator or Project Manager then we can recruit for you! The team at Unitemps have an extensive background in agency recruitment, so we can offer the same service you would get from an external agency without the cost.

What does it cost me to recruit through Unitemps?

You will be charged per hour for any temporary workers that you take on through Unitemps. The hourly charge to the department includes the hourly rate the candidate receives, the holiday pay allocation they are eligible to claim and an employer NI contribution.

Unitemps do not charge you anything for using their service other than these costs. There is no surplus generated, all fees that are paid to Unitemps are used to cover the above mentioned legislative costs – but nothing else.

External agencies will charge you anything from 5% to 30% on top of the candidate rates to recruit for you and charge you a fee if you want to take staff on permanently. Unitemps will not charge you anything. As we are an internal department of the University there is also NO VAT CHARGE when you recruit through Unitemps.

How do I recruit through Unitemps?

Contact the Unitemps Office at: unitemps@le.ac.uk or on: 0116 229 7007 to discuss your recruitment requirements. Staff are available to assist with your queries Monday to Friday 9.00am to 5.00pm. Unitemps can provide a tailored recruitment service dedicated to your needs, from advertising the role, to sourcing and shortlisting candidates, arranging interviews and sending out offers of engagement.

Before Unitemps can create an assignment for the engagement of an individual, the University requires that:

  • A clear business need for the assignment can be established.
  • Budgetary provision is identified and approved by an appropriate departmental authorised signatory.
  • Any potential conflict of interest is declared

In order to meet these requirements, the hiring manager must therefore complete and submit a Unitemps Requisition Form.

Additionally, because Unitemps assignments can only be established for a maximum of 12 weeks in the first instance, where a business need can be established for an extension beyond this initial period and budgetary provision is available, the hiring manager will need to complete an Extension of Unitemps Assignment Form.

Please note that the Unitemps Office will not be able to either:

  • set up an assignment; or
  • action an extension

until the appropriate form has been  completed.

Information security

It is the responsibility of the line manager of staff employed through Unitemps to ensure that such staff are aware of their responsibilities under the Data Protection Act and their responsibilities with regard to the University’s Information Security policy. Although the principal concerns are the processing of personal, sensitive, and confidential information, these requirements apply to all information held and processed by the University.

If the role of the temporary member of staff is quite limited with respect to the access and processing of information, it may be sufficient to simply give the person very clear and precise instructions regarding how the information is to be processed and their responsibilities. In such case, a record should be kept of both the instructions and of having given the instructions to the member of staff. In case of doubt please seek advice from Information Assurance Services.

Where temporary staff are in roles that require them to have significant access to information, or where staff members will be working at the University for an extended period, they will be required to undertake the Information Security Awareness Training which is mandatory for all permanent members of staff. The line manager should supply the staff member’s name and User ID to Information Assurance Services via ias@le.ac.uk who will enrol them onto the course. They will then need to undertake the training during work time. It should also be noted that any training the temporary member of staff may have received elsewhere is not an acceptable substitute for the University’s training.
