MyWorkspace - a new staff intranet

We are creating a new staff intranet, which is far more than the current 'information store'.

There will be a key distinction between our public website; intended for prospective students and those wishing to enquire about our research and business activities and the internally focused workspace which is aimed to be a space for you to work alongside colleagues, collaborate on projects, access information relating to meetings and committees, and to find out and discuss what's happening at the University.

In recent staff surveys and communications focus groups we have consistently heard from you about the changes you want to see on the staff webpages.

A number of themes have come to the fore and some of the comments you have made which summarise these themes.

Your thoughts on the intranet

We all have thoughts on what a staff intranet should and shouldn't be, and over the past year the Internal Communications team alongside IT Services, have been looking into a variety of approaches to improve the intranet for staff.

What have we done?

In summer 2016 we tested a new structure for these pages. This was based on the way a member of staff might spend their day rather than departmental organisation, and following extensive testing, amendments were made to make this a logical structure based on clear feedback.

So what now?

Using tools that we already have access to as part of our Microsoft Office 365 licence, we are in the process of creating a digital workspace which allows you to connect to all the key tools you need to do your job. This is being built using SharePoint and will integrate existing tools such as Yammer, Skype for Business and OneNote alongside new tools that you didn’t know you needed but could change the way you work such as OneDrive and Office 365 groups.

The new workspace is intended to be personalised, and will be hosted behind a single sign-in portal, and brings your calendar, tasks and recent documents onto your homepage.

We want the new workspace to help you with your work and to work for you, so we will soon be launching a pilot of the new system in order to gather feedback before a full launch later in the summer. The timescales are yet to be fully finalised, but we wanted you to be first to know.
