Applying for a Period of Off-Campus Study

You may need to undertake a period of off-campus study because:

  • you are undertaking fieldwork abroad
  • you are undertaking an internship/placement that is required as a condition of your funding
  • you are registered for a split-site PhD and are required to undertake a period of registration at another institution

Where this is the case you need to request formal approval for the period spent away from the University.

You can do this by completing and returning the Request for a Period of Off-Campus Study. Please note that your request will require the support of your supervisory team.

Your form can be returned by email, via your PGR Administrator, to pgresearch@le.ac.uk.

If you are going off campus as part of your studies you must complete the Request for a Period of Off Campus Study.  Please provide contact details for where you will be based whilst off campus.  Requests MUST be made in advance of the off campus study taking place. 

Please ensure that you talk to your department about whether a risk assessment and/or ethics approval are required before submitting the application.  If needed, these will need to be in place/undertaken before the off campus study starts.

If you are an international full-time student and you are sponsored under Tier 4 to study at the University, the University will need to advise the UKVI that you are on a period of off campus study.  To discuss how off campus study may affect your visa please contact one of our international Student  Adviser by emailing visas@le.ac.uk

Please ensure that you apply for the off campus study before the leave takes place.

Affect on Registration Period

Periods of off-campus study including internship/placement periods will normally count towards the relevant minimum and maximum registration periods.

This means that you will not be granted any additional time at the end of your registration period to make up for the period spent away from the University.

Duration of Internships/Placements

The duration and timing of the off-campus study will need to be agreed between yourself, your supervisors, and the internship/placement host. 

Where you are undertaking an internship/placement as a condition of your sponsorship then it should not normally exceed three months, either as a block of time or spread over the duration of your course.

Where you are undertaking an internship/placement in excess of three months and it is not a condition of your sponsorship then the Director of the Doctoral College will need to approve your request BEFORE it commences.

Students must comply with all attendance monitoring requirements regardless of any agreed internship/placement period.

If travelling abroad for the off campus study (fieldwork, placement, etc), please note that in accordance with the University's Financial Regulations, all staff and students are required to use the University travel insurance policy when travelling abroad on University business. Please ensure that you take this insurance out before travel takes place.
