Information for Conference Delegates

Information for Speakers

  • All presenters (including poster presenters and bursars) must have booked on to the conference, paying the appropriate fee, in order to give a paper at the event.
  • Each paper has a 30-minute time slot: 20 minutes for the presentation and 10 minutes for questions. This time limit must be strictly adhered to in order to allow delegates to move between sessions. The panel chair has been advised to enforce these timings where necessary.
  • If applicable, each speaker is to bring their own handouts. We advise at least 25 copies; no more than 50 should be necessary. No printing facilities will be available to delegates or speakers during the Conference (a computer suite will be available, however, for anyone who needs to do final editing of a PowerPoint, etc.).
  • Please notify your audience and/or chair if your paper may contain graphic, disturbing or sexually explicit content.
  • Please be aware that members of your audience may want to live tweet and/or take photographs to post on social media of your paper. Please advise your panel chair if you do want to participate in this.

 

Information for Panel Chairs and/or Conveners

  • Please ensure your panellists (and yourself if appropriate) have registered for the conference.
  • In order to ensure the smooth running of the conference, please ensure that timings are adhered to, notifying speakers where necessary.
  • Please notify the audience if papers may contain graphic, disturbing or sexually explicit content.
  • Please advise the audience if a speaker does not want to be included in social media postings.

 

Information for All Delegates

Registration

The registration and information desk will be open 8.30-17.30 every day throughout the conference, except Friday when it is open 13.00-17.00.

Volunteers

Student and staff volunteers will be on hand to provide assistance during the conference. Look out for them in the bright green conference t-shirts!

Conference Dinner Dress Code

We advise delegates who have pre-booked the Conference Association Dinner at the National Space Centre on Sunday evening that the dress code is smart casual.

WiFi Access

Free WiFi access should be available in most conference venues on campus. If you have set up eduroam at your home university this can be used to connect to the WiFi at the University of Leicester. On campus your device should connect automatically, but you may need to enter the username and password provided by your home institution. If you are unable to connect to eduroam please contact your home institution. By connecting to eduroam wifi you are agreeing to be bound by its regulations, the University information security policies and those of your home university. Alternative access is provided by The Cloud. Connect to _The Cloud network on your WiFi enabled device and access the internet. The Cloud landing page should open automatically. For further information and support, see https://www.skywifi.cloud/support/.

Computer Facilities

Room 304/5 will be available in the Charles Wilson Building as a computer room for delegates. Please note, however, that there will be no access to printing facilities and delegates will need to request guest log in details from the Registration Desk to use the computers in the room.

Security and First Aid

In the unlikely event of an emergency, delegates should ring the emergency contact number +44 (0)116 252 2888. The Security Lodge is located at Entrance 1 on the main University campus (just past the entrance barriers) and is open 24 hours a day, 365 days a year. First aiders and security porters will also be available during the event.

Family-Friendly Conference

The CA2018 is a family-friendly conference. A child-friendly room located in the Archaeology and Ancient History Building, will be available on-campus throughout with facilities for baby-changing; a soft play area for babies and toddlers; and toys for toddlers and older children. Please be aware however, that we cannot supervise children and a parent or guardian must be present. Parents or guardians are responsible for their children at all times during the conference. If privacy is required for breastfeeding or pumping milk, either this or the dedicated quiet room can be used. Both of these will be located in the School of Archaeology and Ancient History building.

Content Guidance and Warnings

Delegates should be aware that there may be graphic, disturbing or explicit content in the papers, panels, workshops, posters and other events during the conference. While we do not have a lower age limit for the conference, we do require those 16 and under to be supervised by a responsible adult during the conference, particularly if those aged 16 and under are intending to attend papers. The decision to attend these events is the responsibility of the adult(s) accompanying the child, not the conference organisers or those delivering the material.

Quiet Room

A quiet room will be available on-campus in the Archaeology and Ancient History Building for delegates if required.

Harassment Statement

The School of Archaeology and Ancient History seeks to create an inclusive atmosphere at the Classical Association 2018 conference; this means an environment in which all attendees may participate equally, and may learn, network, and converse with colleagues in an environment of mutual respect. Everyone who attends the conference is entitled to an experience that is free from harassment, bullying, and intimidation. This includes, but is not limited to: sexual harassment and misconduct including unwelcome physical or verbal advances or contact of a sexual nature. Harassment also pertains to behaviours including stalking, bullying based on sexual orientation, gender identity, age, disability, religion, race, or ethnicity (including ‘teasing’). Such conduct is harmful, disrespectful, and unprofessional. No attendee should, under any circumstance, engage in harassing, bullying, or intimidating behaviour directed at any other attendee, in person or online.
