The design process

For complex work, requiring more than a day’s artwork time, you should arrange an appointment with Adam King, Assistant Manager. Smaller jobs can be brought into the unit during opening hours, or you can send them by email: designservices@le.ac.uk.

What you can expect

Adam will allocate your job to one of the design team. If it’s a new job he will arrange to meet you to discuss your requirements, possibly accompanied by the designer who will carry out the work. If we’ve carried out similar work for you previously it may not be necessary to meet. In these instances, your work will be allocated directly to one of the Design Team who will then be responsible for it, meeting agreed deadlines.

Once we start, you will receive as many proofs as you need – usually as PDF files – until you are ready to sign off. Unless we have agreed otherwise, you can sign off your work via email. Some Departments prefer to sign off a hard copy with one or more signatories.

Following sign-off your designer will carry out further processing of your work, arranging delivery if required, and will ensure that it is archived for future use.

Timescale

As a guide you should allow four weeks' design time for a newsletter or brochure and a week for an event poster. On top of this Print Services require five working days to print and deliver to you. Banners, produced externally for us, usually take about five working days. Please be aware that at certain times of the year, especially in September, we can be extremely busy so it is best to get your request to us early.

Payment

Upon completion you will receive a statement of how much your job has cost. If your job entailed artwork services only your statement will come directly from us; if the job involved Print Services the statement will come from them, with the cost of our work stated clearly. The cost of services to you will be debited from the cost code that you gave us at the start of your job

What we expect from you

If deadlines have been agreed we trust that you will have everything ready for us, such as imagery and copy, so that we can start on time. Whilst we appreciate that copy will receive author’s corrections during the design process, it’s best if your text is as close to final copy as possible and free of typos and spelling mistakes.

When you receive a proof please turn it around swiftly in order that we can keep on track. If you delay, there is a good chance that we may miss your deadline as some of the processes your work requires are fixed, such as the length of time that printer’s ink takes to dry.

Please allow enough time to thoroughly check your final proof. Alterations at this stage, though sometimes unavoidable, can create extra processing time for us and could delay delivery of your work. Once you have accepted and signed off the final proof your work will be reproduced. We are not responsible for any errors and omissions noticed after this stage.
