Web access to University filestore

What is web access?

The instructions provided below explain how CFS users can obtain secure web access to filestore at the University from any Windows PC. Access from a non-Windows PC is possible but is not supported by IT Services. The areas of University filestore that can be accessed are:

  • The Z: drive – your personal filestore on the CFS service (My Documents). Remember files stored here are automatically backed up for you.
  • The X: drive – the filestore used by departments to share files amongst staff.

(1) It is important to copy any files that you wish to work on from the Z: or X: drive to the computer you are using.
(2) You will not have access to any CFS software. For example, to open a Word document copied from University filestore your computer must have Word installed.

Web access using Internet Explorer

Using Internet Explorer
  • Run Internet Explorer
  • Use the shortcut <Ctrl>+<O>  to see the 'Open:' dialog box
  • Next type the address of the drive required
  • OR
  • If you are using Internet Explorer v7 there will be an option in the "Open" dialog box to Open as Web Folder and if you select this your filestore will be displayed in the familiar "Folder" view. Example showing X: drive using Folder view
    NOTE: Internet Explorer v8 does not provide the "Web Folder" option and the filestore will be shown in the "Listing"view. Example showing access to X: drive using Listing view. To see the familiar "Folder" view follow the instructions below depending on the version of Windows you are using.
  • Click on OK and when prompted enter your CFS username and password to access the required drive.
  • Please copy any files you wish to work on to the computer you are using.

Web access to Z: drive using Windows XP

Windows XP - Initial setup
 NOTE: Future access is much easier after completing this initial setup.
  • Choose start > My Computer {If using the Classic start menu select start > Settings > Control Panel}
  • Choose Tools > Map Network Drive...

  • Select Sign up for online storage or connect to a network server
  • Click Next>
  • Click Next>
  • Type the address https://zdrive.le.ac.uk/letter/username
    NOTE: The https is important and there is no www; letter is the first letter of your CFS username; and username is your CFS username. e.g. the user abc12 would type https://zdrive.le.ac.uk/a/abc12
  • Click Next>
  • When prompted enter your CFS username and password 

Never tick the option to remember your credentials as this would allow anyone using your PC to access to your CFS filestore.

  • Click OK, then click Next> and then click Finish.
  • A window opens showing your personal filestore on the Z: drive:

    NOTE: If the window is empty there may be a window hidden beneath it. Move the window aside, enter your CFS username and password and click OK.  
  • You can then double-click on My Documents and your files and folders will be listed.
  • Please copy any files you wish to work on to the computer you are using.
Windows XP - Access after initial setup
Once the initial setup above has been completed the next time you wish to access the X: drive you can proceed as follows:
  • Choose start > My Network Places
  • Double-click on <username> on zdrive.le.ac.uk, where <username> is your CFS username
  • Double-click on your My Documents folder 

Web access to Z: drive using Windows Vista/Windows 7

Windows Vista/Windows 7 - Initial setup
 NOTE: Future access is much easier after completing this initial setup.
  • Choose Start > Computer
  • Click on the Map network drive button near the top of the window

  • Next select Connect to a web site that you can use to store your documents and pictures
  • Click Next>
  • Click Next>
  • Type the address https://zdrive.le.ac.uk/letter/username
    NOTE: The https is important and there is no www; letter is the first letter of your CFS username; and username is your CFS username. e.g. the user abc12 would type https://zdrive.le.ac.uk/a/abc12
  • Click Next>
  • When prompted enter your CFS username and password 
  • Click OK
  • Click Next> and then click Finish
  • Please copy any files you wish to work on to the computer you are using.
Windows Vista/Windows 7 - Access after initial setup

Once the initial setup above has been completed the next time you wish to access the Z: drive proceed as follows:

  • Choose Start > Computer
  • Double-click on <username> on zdrive.le.ac.uk, where <username> is your CFS username
  • Double-click on your My Documents folder 

Web access to X: drive

The X: drive is an area of filestore used by departments to share files with their staff. A special folder called WebAccess must be created by IT Services where files that require web access must be stored. NOTE: Most departments do not allow students to access files on the X: drive.

TO ENSURE WEB ACCESS TO THE X: DRIVE
1. Contact your Departmental IT Contact to check if your department has a "WebAccess" folder on the X: drive. Making files available off-site has security implications so please consult your Head of Department before requesting IT Services to create this folder.
2. Obtain permission to access the X: drive from your Departmental IT Contact, or contact the IT Service Desk if you need help.
3. Ensure any files you wish to access off-site are made available in your department's WebAccess folder on the X: drive.

Quick access to X: drive using Internet Explorer
Windows - Initial setup
 NOTE: Future access is much easier after completing this initial setup.
  • Follow the initial setup instructions above for obtaining web access to the Z: drive (depending on the version of Windows you are using) but enter the address https://xdrive.le.ac.uk/
  • Enter your CFS username and password and a window opens showing departmental folders on the X: drive.
  • Locate and double click on your department's WebAccess folder to access the files and documents that are available from off-site.
Once this initial setup has been completed the next time you wish to access the X: drive will be much easier, see below.
Windows XP - Future access to X: drive
  • Choose start > My Network Places
  • Double-click on xdrive.le.ac.uk
  • Enter your CFS username and password
  • Click OK to open the X: drive
  • Locate and double-click on your department’s WebAccess folder 
Windows Vista/Windows 7 - Future access to X:drive
  • Choose Start > Computer
  • Double-click on xdrive.le.ac.uk
  • Enter your CFS username and password
  • Click OK to open the X: drive
  • Locate and double-click on your department’s WebAccess folder

Known Problems

1. You cannot create new files using the methods above

2. You may be prompted when opening a Word or Excel document

3. Problems when uploading certain file types

1. You cannot create new files using the methods above

You can move, delete, rename and open files when accessing them as above, but you cannot create new files. If you need to create a new file on the Z: drive or X: drive, you must first save it on the computer you are using and then copy (upload) it.

2. You may be prompted when opening a Word or Excel document

You may be prompted for your CFS username and password when opening a file. This may happen if you open a file directly from your My Documents folder on the Z: drive. To avoid this you should copy the file to the computer you are using and then work on it.

3. Problems when uploading certain file types

If you are using Windows Vista you may see an error message ‘Cannot read from source file or disk’ when copying files to CFS. File types affected are: .doc (Word 2003), .xls (Excel 2003), .ppt (Powerpoint 2003), .pub (Publisher), and .mdb (Access). If this happens then:

  • Rename mydocument.doc to mydocument.txt
  • Upload the file to the X: drive or to your My Documents folder on the Z: drive
  • Rename the uploaded file mydocument.txt back to mydocument.doc

NOTE: You can ignore any warnings displayed about file renaming
