Search your files and folders
You can search your files and folders by
- File name
- Date modified
- Size
- Type
Open Windows Explorer from the Task bar or Documents from the Start menu.
Select where to search
To search within a specific folder in your Z:\My Documents folder or Shared Departmental X: drive, first navigate to that folder so that the folder shows in the address bar at the top.

To search the whole of your Z:\My Documents folder, select Documents.

Run the search
- Type the word or phrase you wish to search for into the Search box in the top right of the window.

- The Search will begin immediately and refine the results as you type. Only words found in the file name will be returned
- To close the search click x at the far right of the search box

Grouping
If you begin your search from a folder in the Documents Library the results will be grouped by date, for example Today, Earlier this week, Earlier this year or A long time ago.
- Only the first few results will be shown
To see more results click (Show all …). In the example below 15 results have been found in the Earlier this year section, but only five are showing. Click (Show all 15) to expand the list.

Refine your search by date
- Click into the search box
- Choose Date Modified
- Select a time period or use the calendar to select a specific date.
Refine your search by size
- Click into the search box
- Choose Size
- Click into the search box to choose a size range or If you want to find all files over a certain size type in > (greater than) and the amount

Refine your search by file type
There is not an option for choosing file type but you can enter the search criteria yourself.
- Click into the search box and enter Type: Word
- Only Word documents will be displayed
The following types will be recognised
- Type: Word
- Type: Excel
- Type: PowerPoint
- Type: Access
- Type: Image
- Type: PDF
- Type: Document (will find Word or PDF)
- Type: File (will find folders)
Search in two or more folders
- Run a search
- Scroll to the bottom of the search results
- Select Search again in: Custom…

Select folders in Z:\My Documents
- Expand Libraries > Documents > My Documents by clicking the white arrow next to each level
- Select the tick box next to the folder(s) you need to search
Select folders in Shared Departmental X: drive
- Expand Computer > Departmental Shared Data (X:) > your department by clicking the white arrow next to each level
- Select the tick box next to select the folder(s) you need to search
You need to select all the folders you need to search, the original folder you searched in won’t be remembered.
