On the day

Below is information about the day of the Festival: what's required of you (the Festival Presenters) and some reminders. We will be adding to this page as the Festival draws closer so keep checking for new information, hints & tips.

  • You MUST arrive by 8.30am to set up
  • Remember to eat breakfast - you will be very busy in the time leading up to guests arriving
  • Ensure you look smart - you are presenting yourselves as well as your research

Judging

We have over 80 judges at the Festival. You will each be seen by at least 3 of them. We explained the judging criteria for you at the training sessions. In case you missed it, it goes like this: one score is awarded to your poster, and one to your oral presentation.

Please also note that you will be undertaking the Peer Recommendation nomination from 9.15am and a form will be included in your welcome pack on the day. Posters that are not set up by 9.15 cannot be considered for this award.

Prizes

Up to ten prizes will be awarded to the presenters with the highest scores.

The winners of these prizes will represent the University of Leicester at the Vitae regional poster competition at Nottingham Trent University on 11 July. You should bear in mind that for the regional competition you can only bring your poster (no props or any extra materials will be permitted).

Registration

You MUST arrive by 8.30am.
Peer recommendation judging commences at 9.15 a.m., any poster that is not set up by 9.15 a.m. will not be considered.

Badges

You will all be given name badges together with your welcome packs at registration. The other people clearly identifiable on the day will be:

  • Judges
  • Event Staff
  • Invited Guests

Your badge must be returned to us at the end of the award ceremony.

Timings

The draft programme for the day is as follows:

8-8.30 am Festival Presenters (that's you!) arrive to set up stands - please report to Registration Desk (Belvoir City Lounge, 2nd Floor, Charles Wilson Building)

9.15 Festival Presenters carry out Peer Recommendation
Criteria/nomination form will be included in your welcome pack on registration - you must return your completed nomination form by 10.00 am

10.15 Official welcome to judges and presenters

10.30 Judging commences (and will continue throughout the morning)

11.00 Exhibition opens to all

1.00 pm Exhibition closes (posters will be collected by event staff; all other display materials to be packed away by Presenters)

1-2 pm Networking lunch for judges and presenters

2.00 Award Ceremony with keynote speaker (Ken Edwards Lecture Theatre 3)

3.30 Winners and sponsors photo call

3.30-4.30 Collect your posters and Festival Deposit from KELT3 Foyer

Exhibition

You will each have one table, two chairs and a table-top display board. We will give you Velcro with which to attach your poster to the display board. Please feel free to bring extra material (e.g. handouts, business cards, CVs, journal articles etc. – but please note that should you represent Leicester in the Regional Competition, you will not be allowed to bring extra materials, just your poster).

If you bring electrical equipment it must be capable of being powered with a battery; it is advisable that you bring it fully charged. Mains electricity will not be available at the display tables.

Close of Exhibition

You will be given further instructions on dismantling your display.

Vitae Regional Competition

As you know, the ten finalists will represent the University of Leicester at Vitae Regional Poster Competition at Nottingham Trent University on 11 July. Further details about this event, including programme and timetable, will be forwarded to the winners immediately after the Festival.

Part of the competition was to submit a 150 word summary of your research.  Vitae’s competition deadline is Friday 17 June and your poster and summary have been prepared ready to send to Vitae as soon as we know the winners.  For this reason no changes may be made to your poster or summary
